PO acknowledgment
A PO acknowledgment (OA) is the supplier's confirmation that they received your purchase order, reviewed the terms, and can deliver on the dates and specs you specified. Without it, you're flying blind.

How it works in practice
You place a PO. The supplier reviews it — quantities, specs, delivery dates, pricing. If everything checks out, they send an acknowledgment confirming they can fulfill the order as specified.
In practice, acknowledgments arrive by email. Some suppliers send a formal OA document. Others just reply with "confirmed" or "we can deliver by [date]." Some don't respond at all — which is its own problem.
The acknowledgment is the first checkpoint in the delivery lifecycle. Until you have it, you don't have a confirmed date, you don't know if the supplier has capacity, and you can't be sure they're working on your order.
Why it matters
A missing acknowledgment is one of the most common causes of delivery surprises. The supplier didn't have capacity, didn't agree with the dates, or didn't see the PO at all. By the time you discover this, weeks of lead time have been lost.
Acknowledgments also catch date mismatches early. If the supplier confirms a date that's two weeks later than your PO, you find out now — not when the parts don't arrive. That early warning is the difference between adjusting the production schedule and stopping the line.
Tips
Set a 48-hour follow-up window
If the supplier hasn't acknowledged within 48 hours, follow up. Most suppliers process new POs within a day. Silence after 48 hours usually means the PO was missed or there's a problem.
Check dates on every acknowledgment
Don't just check that the supplier acknowledged — verify the dates match your PO. A "confirmed" response with a different ship date is a date mismatch, not an acceptance.
Document the acknowledgment
Save the acknowledgment email and note the confirmed date. If the delivery is late, this is your reference point for what was agreed.
